the runaround.

Everything you need to know about reporting a problem, routing the work, and getting your organization started with SpotFix MX.

For reporters

Reporting an issue

Do I need an app or account to report an issue?

No. Scan the SpotFix MX QR code posted at your location and the reporting form opens in your phone’s browser. No download, login, or staff account is required.

What should I include in a report?

Confirm the location, describe what needs attention, and add a photo if it helps explain the problem. You can also flag a possible safety concern so the manager knows to review it quickly.

Can I share contact information with my report?

Yes. Add your name and email in the optional contact section before submitting, or leave both blank. You’ll receive a SpotFix reference number on the confirmation screen either way.

Is SpotFix MX an emergency service?

No. If there is immediate danger, tell a manager and contact emergency services when appropriate. The safety flag helps the organization use its faster internal response process.

For facility teams

Approvals and response

What happens after a report is submitted?

A manager reviews the request, sets the final priority, and can approve it, schedule it for a specific service date, or decline it. Approved work appears in the right team member’s prioritized task list. During scheduled coverage, Response plans can also send eligible reports directly to the response team while managers retain oversight.

What is the difference between maintenance, custodial, and Response Team roles?

Maintenance technicians diagnose and repair facility problems such as leaks, electrical issues, and broken fixtures. Custodial technicians handle cleaning, sanitation, spills, and supplies. Response Team members provide immediate frontline help, coordinate next steps, and escalate repair or custodial work to the right team.

How does the Response Tree work?

SpotFix MX texts one enabled responder at a time in the order your organization sets. When someone accepts the request, the remaining alerts stop. Routine requests and urgent or safety requests can use different timing.

Plans and setup

What is the difference between Core and Response?

Core covers QR reporting, manager approval, priorities, photos, activity history, and the maintenance task list. Response adds Response Team accounts, scheduled SMS-only escalation, rotations, one-tap acceptance, and redundant manager email and text alerts for issues submitted outside coverage.

What counts as a site?

A site is one physical operating address. Rooms, buildings, floors, and QR reporting areas within that address are included. A separate operating address counts as another site.

Do location QR codes expire?

Each location gets a permanent managed QR address that keeps working if the organization or location is renamed. Managers can download PNG and SVG versions and print co-branded signs. Archiving a location makes its reporting link inactive until the location is restored.

How is each organization’s information separated?

Every organization has its own workspace for locations, reports, staff, photos, alert schedules, and response activity. Staff accounts are individually approved, and protected screens only show information allowed for that person’s role.

How do we get started?

Request a pilot and tell us about your organization. SpotFix MX will prepare the private workspace, help create the first locations and QR codes, and activate text alerts when your team is ready. No payment is collected with the pilot request.
